Program Assistant

The Institute for Research on Labor and Employment (IRLE) at the University of California, Berkeley seeks applications for a Program Assistant.

The Institute for Research on Labor and Employment (IRLE) is an Organized Research Unit of the University of California at Berkeley that promotes better understanding of the conditions, policies, and institutions that affect the well-being of workers and their families and communities. IRLE informs public debate with evidence about inequality, the economy, and the nature of work, serving as a bridge between world-class research within the university and policymakers outside. IRLE is home to several nationally-recognized centers and programs that conduct research, education, and outreach on labor and employment issues, including:

  • The Center for Labor Research and Education (CLRE, also known as the Labor Center);
  • The Center on Wage and Employment Dynamics (CWED);
  • The Center for the Study of Child Care Employment (CSCCE);
  • The California Policy Lab (CPL);
  • California Public Employee Relations (CPER); and
  • The Shift Project.

IRLE Annual Awards Program

  • Provide administrative support for the Associate Director and the Faculty Director on execution of the annual IRLE competition for Faculty and Graduate Student awards.
  • This includes updating the call for proposals materials, coordinating dissemination with IRLE Comms team, accepting and logging proposals, assisting with the award selection process, sending out award selection and rejection letters, communicating with Awardees and collecting IRLE awards spending information.
  • Coordinates internally to ensure spend-down plans (hires stipends, purchases) are set-up and processed and informs the IRLE Leadership team of any potential for cost overruns.

Student Programs

  • Work closely with IRLE Associate Director to refine and continue to develop student programming strategy.
  • Provide logistical support to faculty-led student research groups.
  • Oversee operations for the newly launched Social Sciences Research Pathways program.
  • Works closely with students, and the IRLE Associate Director to match mentors and mentees, helps to develop and facilitate trainings, conduct follow up with participants throughout the year, and facilitate stipend payout for all program participants.

California Public Employee Relations (CPER) Program

  • Oversees daily activities for the program including monitoring the CPER email, responding to customer inquiries, production of Guide content updates and/or new Pocket Guides from start-to-finish, maintaining appropriate inventory, facilitating re-stocks and re-prints of inventory with fulfilment partner, and implementing publication strategies via MailChimp.
  • Collaborates with IRLE Contracts and Grants Coordinator to monitor online orders, ensure all orders are processed, and payment is collected.
  • Will work closely with IRLE Associate Director to develop a content strategy for the CPER program moving forward, including development of outreach to legal scholars and experts to help generate new pocket guides and expand our topical footprint.

Event coordination

  • Oversees logistical support for IRLE Central events which entails: Communicating with speakers (including travel, reimbursement, and AV needs), managing RSVPs, coordinating catering and event-related purchases, making room reservations, arranging for room setup and cleanup, sign-in sheet, day of logistics, oversees events publicity: flyers, social media and website, coordinates getting information about events to web and communications staff, enters and updating events on WordPress website, Berkeley events, IRLE public calendar and handling other event details.

Visiting Scholars Program

  • Administers the IRLE visiting scholar program which includes the processing of appointment paperwork, the collection of the IRLE fees, coordination of office space, introducing the scholars to the IRLE community, making sure they’re added to the IRLE list serves and their photos and research blurbs are posted on the IRLE website, responding to their inquiries, and ensuring proper maintenance of the visiting scholar room/ carrels.
  • Works laterally with BIO, VSPA, HR resolve any potentially complicated issues that may arise regarding their visa processing or other visiting scholar eligibility issues.

Miscellaneous administrative support

  • Provide general administrative assistance to the IRLE Associate Director and Faculty Director including:
  • Checking email, manages general public email and phone inquiries.
  • Produces content for annual report and similar publications, as needed.
  • General admin. support for special projects and other duties as assigned.
  • Supervision of student employees, as needed.
  • Provides Purchasing backup to other staff in their absences.

Required Qualifications

  • Exceptional organizational skills and demonstrated ability to set priorities, organize a vast array of information, to think critically and exercise nuanced judgment.
  • Demonstrated ability to communicate clearly with tact and sensitivity both orally and in writing.
  • Experience working with budgets and financial accounting systems; good math skills and ability to work with a high degree of accuracy.
  • Experience working with and/or ability to learn databases and proficiency with Microsoft Office Suite including Word and Excel, calendaring systems, bCal and other UCB google office applications.


High school diploma and/or equivalent training or experience.

Preferred Qualifications

  • Previous experience with event planning and purchasing/accounting.
  • Experience and knowledge of and/or ability to learn UC administrative policies, procedures, and accounting systems (ex: CalAnswers).
  • Basic program management experience, and capacity to juggle multiple priorities and deadlines.
  • Past experience managing student workers, interns, and contractors.
  • Experience and knowledge of and/or ability to learn IRLE Centers and Programs.
  • Demonstrated interest in the and/or ability to learn IRLE mission and programs.

Salary & Benefits

  • This is a full-time (40 hours/week), career position, and eligible for full UC benefits.
    This position is a non-exempt, bi-weekly paid position. Hourly pay for this role is commensurate with experience within the range of $30.07 – $32.17 (Step 8.0 – 11.0).
